How to increase sales on Wayfair as a supplier
Wayfair is one of the two biggest online channels for home furnishing suppliers, and the one that rewards complete product content fastest. Here's how it works, why most supplier listings under-perform, and everything our team manages on Wayfair every day.
To sell more on Wayfair as a supplier: get every item live and keep it live; send an accurate inventory feed daily and confirm Wayfair accepted it; complete every listing — 8+ images including room scenes, video, every dimension and weight, clear titles; set up sets and options as one product; ship inside your promised lead time; keep your wholesale cost competitive; and reconcile every payment against the deductions. Or hand all of it to a team that does it every day.
If you already sell on Wayfair, you know the list
Partner Home. The drop-ship agreement. The Supplier Code of Conduct and the liability insurance certificate. The inventory feed that has to go daily and has to be accepted. Dropship orders you must acknowledge fast, ship inside the lead time you promised, and confirm with an ASN — with UCC-128 labels on the cartons. SPO purchase orders into Wayfair warehouses or CastleGate forwarding, with their own routing and delivery rules. Carrier setup, prepaid labels, daily pickups, LTL and white-glove for the big pieces. Then the payment: Net 60 or Quick Pay, and a statement full of deductions — co-op, returns, shipping chargebacks, damage claims, cancellations — that never quite matches the bank deposit.
Every one of those is a place to lose money or lose placement. Our team runs all of them for home furnishing suppliers, every day, inside your Partner Home account — and our own platform has custom-built pages for managing Wayfair, one of only two retailers we've built dedicated tooling for. You keep the account and the relationship; we do the work.
How selling on Wayfair actually works
Wayfair is a supplier partnership, not an open marketplace. You're approved, you sign a drop-ship agreement, you set your wholesale cost, and Wayfair sets the retail price and owns the customer. Most orders are dropship: a customer orders, Wayfair sends you the PO, you ship it to the customer inside the lead time you promised. Some suppliers also ship stock ahead into CastleGate, Wayfair's own warehouse network, which earns faster delivery promises and better placement. Everything — items, content, inventory, orders, returns, payments, tickets — runs through Partner Home.
That means three things decide your sales: whether the item is live and in stock at the moment a shopper searches, how complete and convincing the listing is when they land on it, and whether you ship on time so Wayfair keeps showing you.
Everything we manage for you on Wayfair
Getting set up and staying compliant
- Supplier application, business verification, drop-ship agreement, Supplier Code of Conduct, product liability insurance certificate
- Partner Home account and user administration; help-center tickets to Wayfair's partner support, opened, chased and closed
- Inventory feed configuration; warehouse and lead-time setup; carrier setup and prepaid-label workflow; daily parcel pickup coordination; LTL and white-glove carrier arrangements for oversized items
- Product compliance attributes — CPSC, California Prop 65, certifications — kept current on every item
- Wayfair's Perfect Order standard defended: every PO shipped by its Must-Ship-By Date (MSBD), no incidents, no backorders — the metric Wayfair uses to decide whether a supplier stays active
- Your Partner Manager relationship and Wayfair's partner-support tickets handled by us, so nothing waits on you
Catalog and content
- Item creation to Wayfair's spec: one unique product page per item (no duplicates), full dimensions and weights, box count and carton dimensions, materials, assembly and care details, category and attribute mapping
- Titles built from the words shoppers search; feature bullets; descriptions written for the room, not the spec sheet
- Images to Wayfair's spec — hero on pure white at 2,000 px with nothing overlaid (one wrong image and the whole listing fails review), then room scenes, angles and close-ups in the gallery; product video; 3D models where Wayfair's program applies
- SKU relationships set correctly — pack, set and component — so Wayfair knows what ships in how many boxes
- Wayfair Verified positioning: the content completeness, accurate dimensions, low return rate and operational benchmarks that earn the badge and the placement that comes with it
- Sets and options set up as one product page: a table with its chairs, a sofa in four colors — inventory tied to components so the set goes out of stock when a part does
- Wholesale cost management and cost-change submissions; participation in Wayfair sale events and promotions
- New item introductions and discontinuations handled cleanly so nothing sells that can't ship
Orders and inventory
- Daily inventory to Wayfair, accurate to your warehouse, confirmed accepted — and reconciled against what Wayfair shows
- Dropship orders: purchase order (850) acknowledgment (855), advance ship notice (856), invoice (810), inventory (846) — by EDI, API or Partner Home, in the format and timing Wayfair requires
- Backorder and lead-time management so promised dates stay true; ship-date compliance monitored to protect placement
- SPO (stocking purchase orders) into Wayfair warehouses and CastleGate forwarding — routing, delivery windows, carton labeling
- Daily item-status check across your catalog; suppressed and inactive items restored
Getting paid
- Every Partner Home payment statement reconciled to shipped orders, deductions and the bank deposit
- Deductions identified line by line — co-op, returns, shipping chargebacks, damage claims, cancellations — and disputed when wrong
- Net 60 vs Quick Pay cost tracked; missing and short payments chased with Wayfair's accounting team
Returns and claims
- Damage, defect, wrong-item and missing-part claims handled with evidence inside Wayfair's windows; replacement parts and reships coordinated; return rates monitored by item so a bad SKU gets fixed before it hurts the account
Growing sales on Wayfair
- Partner Home's Operations Hub (fill rate, cancellations, returns, order incidents) and Catalog Insights (reviews by item) monitored and acted on every week
- Closeout deals submitted to clear discontinued inventory cleanly instead of letting it drag down the catalog
- Web-ready and web-complete audits so every item ranks and converts, not just exists
- Sponsored Products (Wayfair's pay-per-click ads) coordinated with your ad partner; promotions and sale-event participation
- Category-buyer relationships, line reviews and new-item pitches — 20+ years selling home furnishings into the majors
- One login on our platform to see what sold, what's live, and what we fixed
Why supplier products under-perform on Wayfair
- 1
Items aren't live. Suppressed for missing attributes, image rule failures, dimension gaps. The notice sits in Partner Home. Most suppliers we audit have items down without knowing it.
- 2
The inventory feed is stale or rejected. Wayfair sells from the last feed it accepted. A failed upload means "out of stock" on products in your warehouse — or oversells, cancellations and a hit to your performance metrics.
- 3
Thin listings lose to complete ones. Two photos and a short description sit on page four.
- 4
Sets and options are broken. Split listings split your reviews and your rank.
- 5
Late shipments cost placement. Miss your lead time and Wayfair de-prioritizes the item.
- 6
Deductions go unchallenged. Nobody reconciles the statement, so wrong chargebacks stand.

Frequently asked questions
How do I sell on Wayfair as a supplier?
Apply through Wayfair's supplier program with your business registration, tax ID, product line and insurance. Once approved you sign the drop-ship agreement, set up Partner Home, configure your inventory feed, and list products with wholesale costs. Wayfair sets the retail price.
Why is my product not showing on Wayfair?
Most often it's suppressed: a required attribute is missing, an image fails their rule, or dimensions and weights are incomplete. The item report in Partner Home lists the reason. Daily status checks catch it before it costs a month of sales.
What is the difference between dropship and CastleGate?
Dropship means you hold the inventory and ship each order to the customer. CastleGate is Wayfair's warehouse network — you ship stock in ahead of time, Wayfair ships to the customer, and the item earns faster delivery promises and better placement.
How does Wayfair pay suppliers?
On payment terms such as Net 60, or faster through Quick Pay for a fee. Each payment statement in Partner Home nets out deductions — co-op, returns, shipping chargebacks, damage claims — which is why the deposit rarely matches gross sales without reconciliation.
How does Wayfair rank products?
Wayfair doesn't publish its algorithm, but the factors that consistently matter are being in stock, content completeness (images, video, dimensions, attributes), price competitiveness, delivery speed and reviews.
Can Grow ECommerce run Wayfair for us if we already sell there?
Yes — that's the most common situation. We audit what's live, fix and complete the listings, reconcile the statements, and take over the daily work inside your account.
